What the module does
- Displays the validity of documents (ID card, driving licence, passport, A1, professional licence, …), training and medical checks.
- An expiring or expired validity is signalled by a badge on the module tile.
- Validities are colour-coded:
- green - valid document,
- orange - the end of validity is approaching (30 days by default, set by your carrier),
- red - expired validity,
- grey - “No validity date”: a document with no end of validity on record, which is therefore not watched.
Company-wide overview of expiring validities (web)
This screen is only for those whom the carrier has given administration of the module. Everyone else sees only their own documents.
- A list of expiring and expired medical checks and periodic training for all employees of the company - who, which document and until when.
- Filter: horizon in days, type (checks or training), state (everything in horizon, or expired only) and a search by name, personnel number or document.
- The summary above the list shows how many items there are, how many employees they concern, how far ahead the overview looks and how many validities have already expired.
- Documents from the personal card (ID card, driving licence, professional competence…) are not in the overview - the ERP system does not keep them company-wide and their expiry is watched by HR there.
Carrier settings
When a document is marked as expiring, and which documents you see at all, is set by your carrier.
- Warn before expiry (days) - how many days before the end of validity a document is marked as expiring (in orange). Empty = 30 days, 0 = the document is marked only on the day its validity ends.
- Show expired documents - when switched on (the default), you also see a document whose validity has already passed. When switched off, expired documents disappear from the list and are not counted in the tile badge either.
- Show documents with checking disabled - a medical check marked in the ERP system as “Do not check (expired)” is normally not reported; when the option is switched on (the default), you see it anyway. The option takes effect once the ERP system sends this detail.
- Show one-off training and medical checks - only periodic training and checks with a defined period are reported, because one-off ones do not recur; when the option is switched on (the default), they are shown as well. The option takes effect once the ERP system sends this detail.
- Company overview horizon (days) - how far ahead the company-wide overview of expiring validities looks; it applies to that overview only. Empty = 21 days, 0 = only what has already expired.
