What the module does
- Issued invoices - what the company billed, advance invoices included, what has been paid and what is overdue. Each document shows the customer, issue date, due date, amount, the paid part and what remains.
- Received invoices - the same from the other side, what the company owes its suppliers.
- Balance - one row per business partner: what they owe us, what we owe them and the difference. The totals sit above the table.
- A Year filter on both tabs, offering the years the accounting system holds data for.
- Document detail with payments - when and how it was paid, from which account and under which bank statement. On a partly paid invoice every payment is listed separately.
- Invoice PDF in the document detail. For an issued invoice it is exactly the one the accounting software e-mailed to the customer, together with when and to which address it went. For a received invoice it is the PDF stored with the document in the accounting system.
- The Receivables tile on the dashboard - unpaid, overdue, paid in the last 30 days and the largest debtors.
In the EDISONKA mobile app
The phone carries receivables only: how much is unpaid, how much of it is overdue, and a list of unpaid issued invoices sorted from the longest outstanding. Tapping a card expands the document details; a long press copies them.
Received invoices, the partner balance and the year filter are not in the phone. That is desk work, while “who owes us” is worth knowing anywhere.
Where the data comes from
The portal never stores or rewrites invoices. It reads them from the company’s accounting software every time the page opens and keeps what it read in memory for a few minutes so the page stays responsive. The Refresh button asks for fresh data straight away and stays inactive until the accounting software answers.
Only what the module needs is read: invoice headers, their payments and invoice PDFs. Payroll, the cash book, the address book and everything else in the accounting system stay out of reach, and the portal never writes anything back.
A small service deployed by M-line runs on the server that hosts the accounting software. In it the company keeps a list of the accounts allowed to see the accounting data - anyone not on the list gets no invoices, even if the portal grants them the module.
Connecting your own accounting system
The module is not written for one particular program. The portal reaches the accounting system through a connector, and the connector is specific to each system; the rest of the module - the tabs, the balance and the tile - stays the same.
The connector for POHODA is finished today. Any other accounting or information system with an interface or an accessible database can be connected as well; that is work on a connector, not on the module. The portal already reads data from the EDISON ERP the very same way. If you want your system connected, talk to M-line.
Settings at the operator
| Setting | Where | What it does |
|---|---|---|
| Accounting connection | Company registry (M-line) | The address of the service on your server, the accounting unit and the key the portal identifies itself with |
| Accounting system | Settings → Modules → Invoices | Which connected system the module reads from. Empty = the only one the company has |
| Who sees invoices | Company → Users | The module is granted per person, like any other |
What to watch out for
- Invoices are visible only to those the company grants them to, and they must also be on the list kept with the accounting software. Without both, the page will not open.
- A document left unpaid at the end of the year is carried over by accounting software into the next one. It therefore appears under both years, with its status taken from the newer one.
- When the accounting software does not respond, the page does not invent anything: it shows the last data it loaded and says how old it is.
- Cancellations and credit notes are not counted as receivables.
- An unpaid advance invoice counts as a receivable in the balance and on the tile (a received one as a liability). A paid advance is deducted on the final invoice, so it is never counted twice. The Issued tab may therefore list more documents than the unpaid-invoices report of an accounting program that keeps advance invoices separately.
- Only an invoice the accounting software sent by e-mail, or one with a PDF stored with it in the accounting system, has a PDF. An invoice edited after sending shows the PDF as it was sent.
