What the module does

Portal user modules

Portal users (dispatchers, HR officers, company administrators) are created under Company → Users. What such a person sees is decided by the modules ticked in their company membership; only modules the company has enabled are offered. The Modules column shows how many each of them has.

You do not set a password for a new user. Once saved, they automatically receive an e-mail with a link and set the password themselves. Anyone who already has an M-line password (they use ISYCloud or M-line Support, for instance) signs in with that one and the e-mail only tells them that portal access has been added. The form says so in the blue bar above the e-mail field and, once an address is entered, adds which of the two cases applies.

Anyone who already has a portal account (from another company, say) is not created again - you invite them. There is one account per e-mail in the portal. If you enter an e-mail that already exists, the form recognizes it and saving adds membership in your company to the existing account - you only fill in the personnel number, assignment, and modules. The name, role, and password stay with the account, and an e-mail about the new access is sent. Such an invited person also belongs to another company, so you cannot change their name, role, or status (M-line does that) - you edit only their membership in your company, or remove it again.

When several people are to see the same thing, do not set it up one by one. Select them in the list (several rows at once) and choose Modules in the toolbar. Pick the modules and what should happen to them:

The portal asks for confirmation on the last two, because both can take access away. With Set exactly you can save an empty selection as well. That takes all modules away from the selected people, so the portal asks with extra emphasis.

The change applies only in the company selected in the header; memberships in other companies stay as they were. Anyone without a membership in that company is skipped - you create the membership in their detail, where the personnel number and the assignment are filled in as well. After saving, the portal reports for how many people the modules changed, how many already had the set, and who was skipped.

Switching the company in the header clears the selected rows. It is a safeguard: the action never runs in a company other than the one you picked the people in. Select them again after switching.

Access templates

When the same sets of modules keep coming back in a company (dispatcher, HR officer, driver on the web), give them names under Company → Access templates. A template is a pattern, not a standing rule: using it only ticks the boxes, the set can still be edited, and a later change to the template no longer changes or takes away anybody’s access.

The list shows the Name, the Default column, the number of modules and the module list itself, so you can see how the templates differ. Add creates one; you open an existing template by clicking its name, or select it and choose Open. In the list you can select several rows at once and delete them in one step with Delete; the portal asks before deleting. Deleting takes nothing away from anybody - assigned modules live in people’s memberships, the template is only a pattern.

Use a template is a button next to the module grid in two places: on the company card in a user’s detail and in the bulk Modules action. Pick a template from the menu and the portal ticks its modules; in the bulk action what happens to them next is decided by the selected mode (Add, Remove, Set exactly). The default template is marked · default after its name in the menu, so even on a user’s card you can see which set belongs to new people. If the company has no template, a sentence telling you where templates are created stands in place of the button.

Using a template filters it by the company licence. If it carries a module the company has turned off in the meantime, the portal does not tick it and says how many modules were left out.

Templates belong to the company selected in the header - another company offers its own. Switching the company clears the selected rows, so pick the template again after switching.

Employee passwords

The Password column shows who has already set a portal password and who has not - it is a to-do list, not a statistic. Employees request a password themselves using the link on the sign-in screen; it arrives by e-mail.

An employee who does not have a password yet finds out by themselves: after entering their e-mail, the sign-in screen replaces the password field with an explanation and a button. This applies to new employees too - nothing is switched on or off for them.

When somebody says “the e-mail never arrived”, select them and use Send password link. The portal confirms which address the link went to - read it. The address comes from HR records in EDISON, so it often contains a typo, and that is the most common reason the message does not arrive. If the address is wrong, fix it in EDISON; it cannot be rewritten in the portal.

If the address is correct and the message still does not arrive, use Show link. The portal displays it and you can hand it over another way - read it out over the phone or send it yourself. It is valid for a day and can be used once; any link sent earlier stops working. Hand it only to that person: whoever holds the link sets their password.

A password can be cleared - select the person and use Clear password. The account returns to the “no password” state and they set a new one using the link. This applies to employees who have a password; a portal user’s password is managed by the central M-line registry, so it cannot be cleared this way. It gives nobody access, it only takes it away.

Company settings review

Settings → Review is a single page with everything the company has configured, plus a Print / Save as PDF button that turns it into a document. It helps when you go through the settings with the carrier, need to show how the company runs, or are looking for the reason something does not arrive. The document carries a table of contents on its first page and each part starts on a new page.
